Manage User Permissions

GSTZen will give you an option to assign different users to different business entities and control what rights they have through Permissions management. Permissions can be given at the PAN level and at the GSTIN level. The permissions are applicable both for the process of return filing and for generating e-invoices.  GSTZen allows the administrator to limit the ability of the users to access the data of other PANs or GSTINs as he may see fit i.e. the user will only be able to access the data for the PANs or GSTINs he is given access to. There are three levels of permissions that can be assigned to the user-

  • Reader – Has read only permission. Cannot make any modifications.
  • Writer – Role with write permission. Can create or upload invoices.
  • Generator – Can create/cancel e-invoices and eway bills
  • Filer – Can sign and file returns. Can modify mapping for creating e-invoices through excel.

Steps for assigning roles at PAN level

Step 1: Log-in to your GSTZen account

Step 2: In the top-right corner, click on the dropdown.

Step 3: Click on Manage Permissions.

Step 4: The list of PAN numbers and users in the GST Zen portal is listed under Permissions Management.

Step 5: Click on Manage.

Step 6: Click on Add Role to User.

Step 7: Choose the User and Roles. Click on Assign User Roles.
Note:
Filer – Can sign and file Tax returns
Writer – Can save Invoice, Payments, Credit/Debit notes,etc
Generator – Can create/cancel e-invoices and eway bills
Reader – Can view all pages but cannot change data

Steps for assigning roles at the GSTIN level

Step 1: Log-in to your GSTZen account

Step 2: Choose the GSTIN. Click on Manage and select Manage Permissions.

Step 3: Click on Add Role to User.

Step 7: Choose the User and Roles. Click on Assign User Roles.
Note:
Filer – Can sign and file Tax returns
Writer – Can save Invoice, Payments, Credit/Debit notes,etc
Generator – Can create/cancel e-invoices and eway bills
Reader – Can view all pages but cannot change data

FAQs on Managing User Permissions in GSTZen

1. Can I assign different roles to the same user for different GSTINs?
Yes. A user can have different roles for different GSTINs under the same PAN. For example, a user may be a Writer for one GSTIN and a Reader for another.

2. What is the difference between PAN-level and GSTIN-level permissions?

  • PAN-level permissions apply across all GSTINs linked to that PAN.
  • GSTIN-level permissions apply only to the specific GSTIN selected.

3. Who can manage user permissions in GSTZen?
Only the Admin user (the email ID used to create the GSTZen account) has the authority to assign or modify user roles.

4. If I assign a user as a Reader, can they download reports?
Yes. Readers can view and download reports but cannot edit or upload any data.

5. What happens if I remove a user’s role?
If a user’s role is removed, they will no longer be able to access that PAN or GSTIN in GSTZen.

6. Can I restrict a user to see only invoices without giving filing rights?
Yes. You can assign the Writer role, which allows invoice creation and uploads but does not grant filing rights.

7. Is there a limit to the number of users I can invite to my GSTZen account?
No. You can invite and manage multiple users, as long as you assign the correct roles to maintain security and compliance.
